  1. Sanebox.com has similar functionality and it doesn’t require you to use the lousy gmail interface : p

  2. Heh — I guess this works for me because I love the Gmail interface! Also, these other apps don’t have additional features like canned responses, Rapportive, and don’t let you star things into custom folders manually, which has been really helpful for my giveaway posts.

  3. Tracy, this is a GREAT post! I’ve been struggling with Priority Inbox for a few weeks and these tricks hopefully will prevent me from going back to Mail.app

    Great Stuff!

  4. I don’t use the multiple inboxes trick, but I use the multiple stars lab and a lot of filters and aggressive tagging.

I also wanted to chime in that I don’t like Priority Inbox. It’s an impressive piece of technology, no doubt, but the problem is I can’t trust it. Sure it can pull out more important emails with reasonable accuracy, but it’s just delaying the task of going through the rest of the emails. Instead of delaying it I want to just process all my email in batches and get it off my mind as quickly as possible. I believe this is best achieved by getting good at quickly respond and archiving to the easy-to-respond and important emails, plus a system for tagging and categorizing the important emails that are associated with other bigger tasks. Only if you are certain that your system won’t allow you to miss or forget about an important email can your mind be truly free of email concerns. No matter how good Priority Inbox gets it can never be aware of the constantly shifting priorities of my entire work life.

  5. I think you need an email client. Mutt, Thunderbird, Windows Live email make it much easier for handling email. Instead of using beta apps from Gmail Labs, it would be wiser to go for something like Thunderbird.

You have put up a nice effort finding how all these functionalities can be put to regular use so that the daily email experience is enhanced and eased. However, all these functionalities are provided to you by most email client.

  6. Another way to achieve inbox zero is to have virtual assistants comb through your emails. For most email responses they can custom tailor a template email. In rare cases when they don’t know what the decision should be they can forward the email to you.

This approach requires that you have 100% in your virtual assistants. Note that these individuals need not be located overseas unless you choose that option.

Are you the only person in the world who can create simple responses to standard emails received in the inbox? Probably not.

If you agree, then trying to partially outsource your email as Tim Ferris did might be an option for you.
